When evaluating the right solution for your information governance & e-Discovery needs, sifting your options can end up giving you much different outcomes than you were expecting. In this discussion, we are addressing the most common question we get: how are you better than Microsoft Purview? Great question. Let’s dig in and sift the apples from the oranges.
Microsoft 365 has become a ubiquitous solution for organizations needing email and office productivity solutions. It has the benefit of being well known and widely installed; a fact that Microsoft leverages heavily with additional add on products and features in its Microsoft 365 suite, including its information governance option, Purview.
While it may seem extremely convenient to just add on a feature to the Microsoft subscription, all too often (and too late) organizations find that the convenience comes at a cost. Purview and Purview Premium are add-ons; not core to what Microsoft does best. By comparison, a solution like Donoma OneVault is purpose-built for delivering information governance and e-Discovery capabilities with superior capabilities that delivers benefits for teams across the organization, not just IT.
Let us dive into a detailed comparison between Microsoft Purview and Donoma OneVault.
Microsoft Purview: Built for IT Administrators
Microsoft Purview is a feature accessed via Microsoft 365’s Administrative Portal designed for IT administrators. This interface, though familiar to IT staff who routinely manage the Microsoft platform, poses a challenge for everyone else. Purview’s interface is complex and even experienced IT personnel can find it overwhelming.
By comparison, OneVault is built to satisfy the rigors and needs of Information Security personnel but also delivers role-based access for other stakeholders such as Legal, Compliance, HR, and Operations. Software features are granted by the user’s role, not by level of technical skill. OneVault’s intuitive interface makes it easy for non-technical people to start using it and gain value within minutes.
Microsoft Purview’s Security Does Not Compare
When it comes to information security, OneVault takes the lead. OneVault secures data with its continuous data encryption that keeps the data always secure, even when being used during searches. This is a significant advantage, especially in an era where cyber-security threats are rampant.
If ransomware hackers try to steal data or if data is accidentally or deliberately leaked, the data is unusable outside the confines of the OneVault platform. Its encryption technology is currently the only solution of its kind in Information Governance and e-Discovery solutions and offers an unparalleled level of post-quantum-ready security for data that needs to be retained and searchable.
Purview’s security options are tied to extraordinarily complex licensing tiers that may not even include encryption. At best, the encryption available only secures data at certain times and the rest of the time data is converted into clear text where it can and has been ransomed, stolen, and leaked.
Purview Drives More Expense
Microsoft Purview operates on a per-account, per application subscription model. (For example, email and Teams chat are two separate accounts, even for the same end user.) This means you are required to maintain ongoing subscriptions for each account where data must be preserved, regardless of whether that person is still active in the organization, or how much data is being retained. This leads to ballooning licensing costs.
OneVault, however, has a different approach to pricing. It charges based on the size of the data set, with no requirement to maintain the original software license once the data is retained. This enables organizations to recycle active licenses, manage costs and avoid being “penalized” for the cost of preserving data per account,
Purview Search is Technical & Slow
One of the key features of any e-Discovery tool is its search functionality. Unfortunately, Purview’s search functionality is both technically challenging and slow. Search criteria is specified, then run offline, not in real-time. With Purview, there can be considerable time delays before search results are available to even preview.
To preview the Purview search results, they must be specially loaded into the interface to review and assess if further refinement is needed. For each refinement, the cycle must be repeated. Additionally, if a search requires multiple factors to help narrow the search, then searches must be custom coded using Microsoft’s PowerShell – a tool used by specialty IT staff and developers. This can be a time-consuming process and Purview can only deliver the output in a limited number of formats that are not typically end-user friendly.
In contrast, OneVault’s search is real-time, with the ability to quickly select search parameters with the click of a mouse. Results start populating onto the screen in seconds (even for large data sets) providing immediate access to the needed information. From there the data can be used not only to inquire and resolve investigations, but easily be exported to satisfy audits, FOIA requests, defensible legal records production and be classified and tagged for workflows and other uses.
Purview Search is Limited
The limitation of Purview’s search functionality extends beyond its slow speed. It only searches a limited number of informational fields, known as metadata. Typically, this means the date/time, subject or file name, recipients, and data type. This can pose a problem if the search needs to check the contents of files, messages, and attachments to conversations. Purview Premium provides some additional search capabilities for additional add on fees.
OneVault, on the other hand, searches all available data. This includes the content of messages, files, and attachments as well as the metadata, making it a much more comprehensive e-Discovery tool.
Purview is built for Microsoft Data
One key limitation of Microsoft Purview is that it natively supports just two applications: Microsoft 365 email and Teams chat data. While it does offer the option to connect some additional applications, the support, integration, and cost of those data connections are outside the scope of the Purview subscription and support. This separate purchase and management adds to the complexity and cost. These third party plug ins further limit the data fields that can be searched.
Moreover, Purview does not support data from on-premises systems. This can be a significant drawback for businesses that still use on-premises infrastructure.
OneVault by comparison handles data from a wide variety of today’s enterprise applications, with everything in one platform.
